Policy on the Use of Generative AI Tools (Gen AI Policy)
1. Background
Jurnal Ilmu Peternakan dan Veteriner Tropis (JIPVET) is committed to maintaining research integrity, academic honesty, and high scientific standards in all published works. The rapid development of Generative Artificial Intelligence (Gen AI) and Large Language Models (LLMs), such as ChatGPT and similar tools, has created new opportunities and risks in scientific publishing.
This policy provides clear guidance on how Gen AI tools may and may not be used by authors, reviewers, and editors in the context of JIPVET. It is consistent with JIPVET’s Publication Ethics and Malpractice Statement and the principles of the Committee on Publication Ethics (COPE).
2. Scope
This policy applies to:
- All manuscripts submitted to JIPVET.
- All authors, co-authors, reviewers, editors, and editorial staff.
- All types of generative AI or LLM based tools, including but not limited to ChatGPT, Gemini, Claude, Copilot, and similar systems.
3. General Principles
3.1 AI tools cannot be listed as authors
Generative AI tools cannot be listed as authors or co-authors. Authorship requires the ability to take public responsibility for the content, to respond to critiques, and to assume legal and ethical accountability, which AI tools cannot provide.
3.2 AI tools may be used only as assistive instruments
Permitted uses of AI tools are restricted to non-substantive support, for example:
- Language editing, grammar correction, and improvement of clarity of expression.
- Translation of text between languages.
- Minor rephrasing that does not alter the scientific meaning.
- Preparation of simple, non-data-based illustrative diagrams or conceptual flowcharts.
Prohibited uses of AI tools include, but are not limited to:
- Generating, altering, or fabricating research data, results, or statistical outputs.
- Performing data analysis or statistical inference without complete verification by the authors.
- Writing substantial parts of the manuscript, such as methodology, results, discussion, or conclusions, in a way that replaces intellectual input from the authors.
- Producing fabricated citations, references, or literature summaries that have not been checked against sources.
- Producing synthetic images, figures, or graphs that represent real data but do not originate from actual experiments or analyses.
4. Transparency and Declaration of AI Use
Authors must be transparent regarding any use of generative AI tools in the preparation of a manuscript. If AI tools are used for language editing or similar permitted purposes, this must be clearly declared in the manuscript.
The declaration should be placed in a separate section before the references, for example:
“Declaration of Generative AI Use: The authors declare that generative AI tools were used only for language editing and grammar refinement. All intellectual content, including the conception of the study, study design, data collection, data analysis, interpretation of results, and conclusions, was developed solely by the authors. The authors take full responsibility for the integrity and accuracy of the content.”
If no AI tools were used, authors may include a statement such as:
“The authors declare that no generative AI tools were used in the preparation of this manuscript.”
5. Responsibilities of Authors
Authors are fully responsible for:
- The accuracy, originality, and integrity of the entire manuscript, regardless of any AI assistance used.
- Critically reviewing and verifying any text or suggestions generated by AI tools.
- Ensuring that all data, results, and analyses are genuine, traceable, and reproducible.
- Preventing plagiarism, misinformation, and the use of fabricated references that may result from AI-generated content.
- Ensuring that the manuscript complies with JIPVET’s Publication Ethics and Malpractice Statement.
6. Use of AI Tools by Reviewers
Reviewers must respect the confidentiality of the peer review process and the intellectual property of authors.
Reviewers are allowed to:
- Use AI tools to improve the language quality or clarity of their review reports.
Reviewers are not allowed to:
- Upload or copy the manuscript, or any substantial part of it, into public AI platforms, because this may violate confidentiality and data protection.
- Rely on AI tools to make judgments about the validity, originality, or scientific merit of a manuscript.
7. Use of AI Tools by Editors and Editorial Staff
Editors and editorial staff may:
- Use AI tools for routine language editing of editorial notes, standard correspondence, or administrative communications.
Editors and editorial staff may not:
- Upload complete manuscripts to public AI systems or services where confidentiality cannot be guaranteed.
- Delegate editorial decisions, assessments of scientific quality, or ethical evaluations to AI tools.
8. AI Generated Images, Figures, and Graphical Content
JIPVET distinguishes between conceptual illustrations and research data visuals.
Allowed:
- Conceptual diagrams, simple flowcharts, or schematic illustrations created with AI, provided they do not present or replace real experimental or observational data.
Not allowed:
- AI-generated images that purport to represent real data, such as histological micrographs, radiographs, photographs of animals, or other visuals that should originate from actual observations or experiments.
- AI-generated graphs or plots that represent data that were not truly measured or collected.
9. Detection of Misuse and Consequences
JIPVET reserves the right to use suitable tools to screen manuscripts for potential plagiarism, fabricated content, or inappropriate use of AI-generated text. If there is reason to suspect that AI tools were used in a manner that violates this policy or JIPVET’s Publication Ethics and Malpractice Statement, the editorial board may:
- Request clarification or a detailed explanation from the authors.
- Reject the manuscript on ethical grounds.
- Retract a published article if serious violations are discovered after publication.
- Inform the authors’ institution or funding bodies, when appropriate.
- Impose a submission ban on the authors for a defined period in cases of severe or repeated misconduct.
10. Relationship to Existing Ethical Policies
This Gen AI Policy is an extension of JIPVET’s existing Publication Ethics and Malpractice Statement. In any case of conflict, the core ethical principles of honesty, transparency, originality, and accountability prevail. This policy should be read together with all other ethical and editorial policies available on the JIPVET website.
11. Review and Updates of This Policy
The editorial board of JIPVET will periodically review this policy in light of rapid developments in AI technologies and evolving best practices in scholarly publishing. Updates or revisions to this policy will be announced on the journal’s website.
